The PDF is the same receipt twice on one Letter page: the top half for the tenant, the bottom half for you. Rent, a security deposit and a late fee each get their own line, so one payment that covers more than rent is still readable at a glance.

What each line is for

  • The number lets either side point at one receipt without describing it. Use one running sequence, separate from your invoice numbers.
  • The date is the day the money reached you, not the day the rent was due — those differ on every late payment, and the difference is what a dispute is about.
  • The rent period is what stops a payment being argued over twice. "$1,450" says nothing; "$1,450 for March" settles March.
  • The payment method matters most for cash, which leaves no other trace. For a check, add its number.
  • The balance turns the receipt into a statement of where the tenancy stands, which is the question a tenant is usually asking.
  • The signature and title identify who took the money on the landlord's behalf. A receipt nobody signed is a receipt anybody could have written.

When a landlord has to issue one

Often it is the law rather than a courtesy. New York's Real Property Law § 235-e requires a written receipt whenever rent is paid in cash or by anything other than the tenant's personal check, and spells out what it must state: the date, the amount, the premises and period paid for, and the signature and title of the person who received it. The template above carries all of those.

Several other states have similar rules for cash rent, and some cities add their own, so check the landlord-tenant law where the property is rather than where you are.

Where no statute applies, issue one anyway for every cash payment and whenever a tenant asks. It costs a minute, and it is the document a tenant will produce if the payment is ever disputed — better that it is one you wrote.

Partial payments, deposits and late fees

  • A partial payment gets its own receipt, for the amount received, with the balance stated. Two payments in one month are two receipts.
  • A security deposit is not rent. Give it a receipt of its own that says "security deposit", because it is money you may have to return and the tenant will need to prove it was paid.
  • A late fee collected with the rent is listed as its own line, so the receipt shows how much of the payment was rent.
  • A payment you refuse gets no receipt. A receipt is evidence that you accepted the money.

A receipt for a security deposit

A deposit receipt carries the same lines as a rent receipt: the amount, the date, the property and the tenant. What it adds is a life of its own. Rent is earned the day it is paid, while a deposit is held until move-out, so this is the receipt both sides will take out again at the end of the tenancy.

  • Say what the deposit secures: the lease and the unit it belongs to.
  • Keep your copy with the lease. At move-out, the receipt is what the refund and any deduction are measured against.
  • When you return it, write a receipt the other way: the amount refunded, each deduction and what it was for, signed by the tenant.
  • Some states also require a landlord to tell the tenant in writing where the deposit is held. Check your state's landlord-tenant rules before you take one.

Number them and keep the copy

Keep a copy of every receipt you issue, in number order, alongside the bank deposit or cash record it matches. Rent is taxable income, and the receipts are part of the records that show how much of it arrived and when. How long to keep invoices and receipts covers the retention periods.

Invoice first, receipt after

An invoice asks for the rent and a receipt confirms it arrived, so a landlord who bills tenants needs both — the difference between an invoice and a receipt is timing more than content.

A rent invoice made here can be marked paid when the money arrives, and a payment confirmation emailed to the tenant with the paid invoice attached. That covers a transfer or a card payment, where the bank already records the method. For cash, write the receipt above as well: the paid invoice does not say how the money came.

Common questions

Can a rent receipt be sent by email?
Usually, yes — what makes it a receipt is the information on it, not the paper. Where a statute requires a receipt, read whether it says how it must be delivered, and keep a copy of what you sent either way.
Do I need to give a receipt for rent paid by check?
Often not by law, because the cleared check is its own record. New York, for example, requires one for a personal check only when the tenant asks in writing. Giving one when asked costs nothing.
What if the tenant loses a receipt?
Issue a copy from your own record with the same number and date, marked "copy". Do not write a new receipt with today's date: that records a second payment that never happened.
Can a tenant write their own rent receipt for me to sign?
You can sign one, but check every line against your own record first — your signature is what makes it evidence. Most landlords prefer to issue receipts from their own numbered sequence.
Can I make my own rent receipt?
Yes. There is no official form. A receipt you write yourself is valid if it names who paid, who received it, the property, the period, the amount, the date and how it was paid, and it is signed by whoever took the money.
How can a tenant show proof of rent paid?
A signed rent receipt is the clearest proof. Bank statements, cancelled checks and payment-app records also show that money moved, but not always what it was for, which is the gap a receipt fills.
