What every invoice must contain

An invoice is more than a total. It is the document your client pays from and the record your books are reconciled against, so a few things have to be on it.

  • An invoice number that is unique in your own records.
  • The date of issue and, usually, a due date.
  • Your business details — name, address and, where relevant, a tax or VAT number.
  • Your client's details — name and billing address.
  • A description of each item or service, with quantity and rate.
  • The subtotal, any tax, discount and shipping, and the total amount due.
  • Payment instructions — bank details, or terms such as "due on receipt" or "net 30".

How to number your invoices

A consistent scheme keeps your records searchable and reads as deliberate to a client. Three patterns cover almost everyone.

  • Sequential: INV-0001, INV-0002, INV-0003 — simplest, and enough for most freelancers and small businesses.
  • Year-prefixed: 2026-001, 2026-002 — resets each year, which keeps numbers shorter as your business grows.
  • Client-prefixed: ACME-2026-001 — useful once you are invoicing several clients and want to scan a list at a glance.

Whatever you choose, never re-use or skip a number. Both make your books harder to reconcile, and in some jurisdictions a gap in a sequence is itself something an auditor asks about.
