How to invoice for auto repair

A repair invoice is read by a customer who cannot inspect the work. Everything that makes one uncontested — the approved estimate, parts separated from labour, the warranty stated — exists to answer the question of what was actually done to a vehicle now sitting in the car park looking exactly as it did before.

The estimate comes first, and the invoice references it

Many states require a written estimate and the customer's authorisation before work begins, and a further authorisation when the cost will exceed it by more than a stated margin. The invoice should quote the estimate and name who authorised any variation and when.

Parts and labour are separate, line by line

  • Each part with its number, quantity and unit price
  • Whether a part is new, remanufactured, reconditioned or used
  • Labour by operation, with hours and the shop rate
  • Sublet work — alignment, machining, glass — identified as sublet
  • Shop supplies and waste disposal as their own lines, never spread into labour

Diagnosis is work, and is billed as work

Diagnostic time goes on its own line whether or not the repair proceeds. Where you credit it against an approved repair, show the charge and the credit rather than omitting both — a customer who sees the credit understands the value of what they were given.

State the warranty on the invoice

Months or miles, whichever comes first, and whether it covers parts, labour, or both. The invoice is the document a customer will produce in eight months' time; a warranty that lives only on a shop wall is one nobody can rely on.

Old parts and disclosure

Several states give a customer the right to their replaced parts on request, with exceptions for warranty and core returns. Note on the invoice whether parts were returned, retained for core credit, or declined — it is a common source of complaint and costs one line to close.

Do I need a signed estimate?
In many states, yes, above a threshold, and a further authorisation to exceed it. Check your own state's automotive repair rules — this is one of the most regulated invoicing situations in the trades.
Can I charge for shop supplies?
Generally yes, where it is disclosed. Show it as its own line rather than absorbing it into labour, and check whether your state caps it or requires specific wording.
Should the invoice show the mileage?
Yes. Mileage in and out dates the work against the vehicle's history and is what makes a mileage-based warranty enforceable later.
