What to put on a auto repair invoice

  • Year, make, model, VIN and mileage at the time of service
  • Diagnostic time separately from repair labour
  • Parts by number, with whether they are OEM or aftermarket
  • Labour by book hours or actual hours, stated either way
  • Shop supplies and waste disposal, where you charge them
  • The next service interval, which turns the invoice into a reason to come back

Questions

Why put the VIN on an invoice?

Because the invoice outlives the visit. A warranty claim, a resale, or the next shop diagnosing the same symptom all depend on knowing which car this was, and a plate number changes hands while a VIN does not.

Should I bill book hours or actual hours?

Either is defensible; hiding which one you used is not. A customer comparing your invoice to a quote will assume the worst if the labour line says only 'labour'.
