An appliance repair estimate is written on a doorstep or across a bench, on a machine diagnosed but not yet opened — a washer, a mower that will not start, a phone that will not charge. Two things decide whether the repair is worth doing: what the part costs today, if the model still has one, and whether a second component went out with the first. Both are unknown at the moment the customer wants a number, so the estimate names the fault, prices it against the part it can find, and says where a new one becomes the better purchase.

Repair or replace

The machine is a 7-year-old front loader with a steam cycle. A comparable new one is 1,150 to 1,300 delivered and installed; this repair comes to 581.67 with tax, which is about half of it — and the drum bearings, the motor and the door seal are all sound. If the latch turns out not to be needed it is 503.41, and the diagnostic already paid comes off either figure.

What this estimate commits you to

How long it stands: Fourteen days, and the part only while the model still has one — a discontinued board is priced at whatever the last of them costs that week.
What it does not cover: Anything outside the unit being repaired: the water, gas, drain or electrical supply feeding it, cabinetry or worktop cut to release it, fuel, oil and blade sharpening on a small engine, and hauling the old machine away if you replace it instead. On a phone or a tablet the data is excluded too — nothing here is backed up, and a board-level repair may not survive with the storage intact.
What would change the price: What comes out with the panel. A second failed component behind the first — a control board taken out by the same surge as the element, a compressor found leaking while a fan is replaced — a machine that has to go to the bench because the fault will not repeat on site, and a handheld opened to reveal liquid corrosion rather than the part that was ordered for it.
How the client accepts it: Approve at the door or by text on the technician's write-up; the diagnostic already paid is credited to the repair, and it is not credited if the repair is declined.

What to put on an appliance repair estimate

The appliance by make, model and serial, because a part number follows the serial rather than the model
The fault diagnosed, and what was ruled out to reach it
The diagnostic or service call fee, and whether it is credited against the repair
The part by number, its price today and its availability — including whether it is discontinued
Labour, stated as its own figure, and whether a bench repair means the machine leaves the house
The repair-or-replace line: what a comparable new machine costs, so the customer can decide with a number rather than a feeling
On a small engine or a handheld device, the replacement price of the unit written at the top — on a 400-dollar mower or a 300-dollar phone it is the figure every other line is judged against

Questions

Should the estimate say when not to repair?

Yes, and it wins more work than it loses. A repair at seventy per cent of a new machine on an eleven-year-old appliance is a bad purchase, and a technician who says so on the estimate is the one that household calls next time — and the one they recommend.

How do I price a part that might be discontinued?

Price it as found today and say the price is what the last of them costs. Control boards for older models are bought from remanufacturers and dealers with dwindling stock, so a fortnight-old estimate on a discontinued board is not an estimate at all.

Is the service call fee credited to the repair?

Whichever you do, print it. The fee pays for the diagnosis, which is real work whether or not the machine gets fixed — customers accept that readily when it is on the estimate and resent it when it appears on an invoice after they declined the repair.

What changes when the unit on the bench is a mower, a chainsaw or a phone?

Three things, and none of them is the shape of the document. Parts behave differently: a carburettor kit for a fifteen-year-old Briggs engine is still on a shelf at a fixed price, while a screen or a battery for a six-year-old handset is aftermarket-only and moves in price week to week, so an electronics estimate has to name the grade of part it was priced on. The diagnostic is harder to charge: ninety-five dollars is a fifth of a small mower and a third of what the phone is worth, so on those it is a smaller bench fee, credited on approval — but still printed, because the hour spent finding the fault was spent either way. And the repair-or-replace threshold moves down with the unit's value: on a 350-dollar mower a 180-dollar carburettor and an hour of labour is already the wrong purchase, and on a phone the number that decides it is usually not the handset but the photographs on it.
