What to put on an appliance repair invoice

  • The appliance make, model and serial number
  • The service call fee, and whether it is waived if the repair proceeds
  • The fault found, in a sentence the customer can repeat to someone else
  • Parts by number, so a warranty claim can quote them
  • Labour separately from the call-out
  • Whether the repair is under manufacturer warranty, and who is being billed if so

Questions

Should I waive the call fee when the customer goes ahead?

Whatever you do, show it. A call fee charged and then credited on the same invoice reads as a discount; the same fee quietly absent leaves the customer unsure what they were charged for.

Why record the fault on the invoice?

Because the customer will be asked what was wrong — by a landlord, an insurer, or a buyer. A one-line description saves them guessing and saves you the follow-up call.
