Veterinary Estimate Template
A treatment plan priced as a range, with the authorisation ceiling on the same page. Free PDF, no account.
A treatment estimate is handed to an owner in a consulting room, usually while they are frightened. It has to do two things at once: give an honest range for a procedure whose findings are still inside the patient, and record what the practice may do without stopping to ask. Both belong on the same page — the diagnostics that would change the plan, the range they might move it to, and the number above which somebody picks up the phone before proceeding.

What this estimate commits you to
- How long it stands
- Fourteen days for the plan as written. An animal's condition moves faster than a price does, and a longer wait means a re-examination before anything is booked.
- What it does not cover
- What cannot be foreseen from the consulting room: an overnight stay if recovery is slow, medication dispensed beyond the first course, histopathology on anything sent away, and referral to a specialist practice.
- What would change the price
- What the anaesthetised patient turns out to have. Bloodwork off-range that changes the protocol, extractions found on radiographs taken under sedation, a mass discovered and submitted for histopathology, and time on the table beyond the range estimated.
- How the client accepts it
- Sign the treatment authorisation at admission, naming the number we may reach during the procedure and the figure above which we must reach you before continuing.

What to put on a veterinary estimate
- A low and a high figure for the plan, rather than one number that will be wrong in one direction
- Pre-anaesthetic bloodwork and imaging listed as what might change the plan, with what each costs
- Anaesthesia and monitoring priced by time, and the range of times the procedure usually takes
- Medication dispensed to go home, separated from medication given in the building
- The contact number and the authorisation ceiling above which the owner must be reached first
- What is not included: overnight care, referral to a specialist, and any outside laboratory work
Questions
Why give a veterinary estimate as a range?
Because the patient cannot describe the problem and the findings arrive during the procedure. A range with a low and a high, each itemised, is a clinical document; a single number is a promise about something under anaesthetic that nobody has yet looked at.
What is an authorisation ceiling and where does it go?
It is the figure the owner agrees may be spent without a further call, written on the estimate and signed. It is what lets a surgeon act on a finding at eleven in the morning without a phone in their hand — and what stops an owner meeting a bill they never agreed to.
Should the estimate include what happens if the owner declines?
Yes, in one line, and it is the hardest line on the form. Recording that the recommended plan was offered, priced and declined is a clinical record as much as a financial one, and it is the document that exists if the outcome is bad.
About the free estimate generator
Is this estimate generator really free?
Yes. There is no fee, no trial period and no watermark on the PDF. Nothing on this page requires a credit card.
What is the difference between an estimate and a quote?
An estimate is your best assessment of what the work will cost and can move if the job does. A quote is a fixed price you are offering to hold. If the figure you are about to send is one you intend to stand behind, use the quote generator instead.
Does an estimate commit me to the price?
Not in the way a quote does. An estimate is an informed projection, and the document prints that in as many words — "This is an estimate, not a bill. Prices may change." What it does commit you to is being straight about why a final figure differs, which is why the exclusions are worth writing down.
Do I need to create an account?
No. Fill in the form and download the PDF directly — there is no sign-up and no login for this tool.
Can the client accept the estimate online?
Not from a downloaded PDF — a file has no button. Saving the estimate to an account gives it a link the client opens and answers on, and the answer is recorded against the document.
What happens after the client says yes?
The estimate becomes an invoice for the same work. In an account that is one step and the figures carry across; from a PDF it means typing them again.
Can I use this for any currency or country?
Yes. Choose any currency and country for either party — the totals and formatting follow your selection.
