Upholstery Estimate Template
Yardage, repeat, labour by the piece and a frame allowance. Free PDF, no sign-up.
An upholsterer prices a piece of furniture by looking at its cover. Underneath are the things that decide the work: foam that may have gone to dust, webbing that may not hold another cover, a frame joint that may have been loose for a decade. Add fabric, which is priced by the yard and where the yardage depends on a pattern repeat the customer has not chosen yet, and the estimate becomes two numbers — labour against the piece as it appears, and material against a fabric that does not exist until it is picked.

What this estimate commits you to
- How long it stands
- Thirty days on the labour, and on the fabric only while the bolt is in stock — a run sells out and the replacement comes from another dye lot.
- What it does not cover
- The fabric itself where you supply it, and anything behind the cover not listed above: replacing springs, ties or a broken frame member beyond the allowance, refinishing exposed wood, and delivery outside our own county.
- What would change the price
- What is under the old cover. Foam that has gone to dust, webbing that will not hold another cover, a frame joint found loose or split, and a pattern whose repeat has to be matched across cushions — which changes the yardage rather than the hours.
- How the client accepts it
- Sign the estimate with the fabric and yardage named on it and pay for the material; the piece enters the shop schedule when the bolt arrives, and cut fabric cannot be returned or exchanged.

What to put on an upholstery estimate
- The piece by type and size, and whether cushions are attached, loose or channelled
- Yardage estimated for a plain fabric, with the extra yardage a pattern repeat or a stripe adds
- Whether the customer supplies the fabric, and what happens if their yardage falls short mid-job
- Labour by the piece rather than by the hour, since that is how the customer compares two shops
- What is being replaced under the cover: foam, dacron wrap, webbing, springs, ties — each priced separately
- Pickup, delivery and how long the piece will be in the shop, because it is furniture somebody is living without
Questions
How much extra fabric does a pattern repeat need?
Enough that it belongs on the estimate as its own figure. A large repeat that has to be centred on every cushion and matched across a back can add a quarter to the yardage, and a customer who chose the fabric for its pattern should learn that before the bolt is cut rather than after.
Can I price a re-upholstery without seeing under the cover?
You can price the labour to strip and rebuild; you cannot price what you find. Carry an allowance for foam and webbing, name the frame repair rate, and photograph what is under there when the old cover comes off — it is the only evidence the customer will ever see of the half of the job they are paying for.
Should a customer supply their own fabric?
They may, and the estimate should say what that changes: you do not warrant a fabric you did not supply, you are not responsible for a railroaded pattern running the wrong way, and if their yardage falls short the piece waits in the shop until more of it arrives.
