Upholstery is two businesses on one invoice: the labour of stripping and rebuilding a piece, and the fabric it is covered in. Customers reliably underestimate the first and overestimate their control of the second, so yardage and labour belong on separate lines with the fabric named.

What to put on a upholstery invoice
- Each piece by description, with what was done to it
- Labour per piece, since a wing chair and a dining seat are not comparable
- Fabric by the yard, named by pattern and supplier, with the yardage used
- Whether the customer supplied their own material, and the yardage required
- Foam, webbing, springs and frame repair as their own lines
- Pickup and delivery, and any stair or access charge
Questions
How much fabric will a piece need?
More than customers expect, and pattern repeat is why. A large repeat can add several yards to the same chair, so the invoice should show yardage used rather than assume the estimate held.
Can a customer supply their own fabric?
Usually, and the invoice should say so plainly — you bill labour only, and you are not responsible for how their material wears or whether it was enough. Customer-supplied fabric that runs short mid-job is the most common way an upholstery project stalls.
