Bartending Invoice Template
Staff hours, setup, glassware and mixers, with liability noted. Free PDF.
Mobile bartending is usually dry-hire: the client buys the alcohol and you bring the people, the ice and the glassware. That split is the whole invoice, and it is also a liability question — who supplied the alcohol determines who carries the risk, so the document should be clear about it.

What to put on a bartending invoice
- The event date, venue and service window
- Bartenders and barbacks by role and hours, including setup and breakdown
- Whether alcohol was client-supplied or provided by you, since this changes everything
- Mixers, ice, garnish and glassware, where you supply them
- Bar setup, portable bar hire and travel
- Your liquor liability insurance and any required permit
Questions
Why does it matter who supplied the alcohol?
Because it determines who is selling it and who carries the liability. Dry hire — the client buys the alcohol and you staff the bar — is the common model precisely because it keeps you out of the business of selling liquor, and the invoice should record which model the event ran on.
Should setup and breakdown be billed?
As staff hours, yes. A four-hour reception is a seven-hour day once you count building the bar and clearing it, and a per-hour rate applied only to service hours quietly makes those three hours free.
