What to put on a charter bus invoice

  • The trip date, itinerary and vehicle type with its seat count
  • Hours and mileage, whichever your rate is built on, and the minimum applied
  • Driver overnight or per diem on multi-day charters
  • Tolls, parking and any venue access fee, at cost
  • Fuel surcharge where your contract carries one
  • Waiting time between legs, if the itinerary parked the coach for hours

Questions

Why do driver hours change the price?

Because a driver's day is limited by federal hours-of-service rules, not by what the group would like. An itinerary that pushes past the limit needs a relief driver or an overnight, and that is a real cost the group should see rather than a surcharge that appears without explanation.

Should parking be included?

Bill it at cost. Stadium, airport and downtown coach parking varies enormously and cannot be predicted at quote time, so a group that sees it itemised understands why two similar trips differ.
