Bookkeeping is priced on volume that the client cannot see and does not think about until it changes. An invoice that names the period, the accounts reconciled and the transaction count is what makes a fee rise explicable a year later, when the business has grown and the retainer has to grow with it.

What to put on a bookkeeping invoice
- The period covered, stated as a month or a quarter rather than a date range to interpret
- The retainer and what it includes, in a line the client can compare to last month
- Transaction volume or account count, where the fee depends on it
- Catch-up or clean-up work as its own line, since it is one-off by nature
- Payroll runs counted, with the number of employees if that drives the price
- Software subscriptions billed to the client, named and at cost
Questions
Should transaction counts appear on the invoice?
If they drive the price, yes. It is the only way a client can understand why a retainer moved, and it makes the conversation about raising it a matter of arithmetic rather than negotiation.
How do I bill clean-up of prior-year books?
Separately from the retainer, by the hour or as a fixed catch-up fee. Rolled into a monthly figure it makes the ongoing service look far more expensive than it is, and the client remembers the inflated number.
