What to put on a dj invoice

  • The event date, venue and the performance window
  • Setup and breakdown time, whether charged or shown as included
  • Equipment supplied — sound, lighting, additional speakers — itemised
  • Travel, and accommodation where the distance required it
  • Overtime at the agreed hourly rate, with the time it started
  • The deposit already paid, so the balance is unmistakable

Questions

Should setup time be billed?

Bill it or show it as included at zero, but never leave it off. A client who thinks they bought four hours will query an invoice that reflects eight hours on site unless the document explains the difference.

How do I invoice overtime agreed on the night?

As its own line with the start time and the rate. Overtime agreed verbally at midnight is remembered differently the next week, and only the invoice is written down.
