A food truck booked for a private event is not selling to the public any more — it is selling one event to one buyer, usually against a minimum. The minimum is where the misunderstandings live: a client who expected to pay for what guests ate needs the invoice to show how the guarantee worked.

What to put on a food truck invoice

  • The event date, location and service window
  • The minimum or guarantee, and what was actually served against it
  • The package basis — per head, per item, or a flat buy-out
  • Travel to the site, and any generator or power requirement
  • Permits or health department fees for the event location
  • Staffing beyond the truck's normal crew

Questions

How does a minimum work on the invoice?

Show the guarantee, show what was served, and bill the higher of the two. A client whose guests ate less than the minimum still owes it, and the only version of that conversation that goes well is the one where the invoice shows both numbers.

Should permits be billed to the client?

At cost, named. Many venues and municipalities require an event-specific permit for mobile food, it is obtained per event, and it is a cost the client would otherwise assume you carry as part of doing business.
