What to put on a driving school invoice

  • The student's name, and the parent or payer where they differ
  • Behind-the-wheel hours, counted, with dates
  • Classroom or online instruction hours, which most states count separately
  • Packages purchased, with hours remaining after this invoice
  • Test-day vehicle hire and the instructor's attendance, which is a separate service
  • The certificate issued on completion, since that is what the licensing office wants

Questions

Why count the hours on the invoice?

Because states set minimums for behind-the-wheel and classroom instruction, and the family needs a record. The certificate is the formal proof, but the invoice is what a parent finds first when someone asks how many hours were done.

Is test day a lesson?

No, and it should not be billed as one. Using the school car for the examination, with the instructor present, is a distinct service — often at a different price — and bundling it into a lesson package confuses what the family bought.

Should no-shows be charged?

If your policy says so, and it should say so on the invoice when it applies. A booked hour a teenager did not attend is an hour the instructor could not sell, and parents accept the charge far more readily when the policy is visible.
