How the month went

What to put on a elder care invoice

  • The client, and the address care was provided at
  • Companion care separately from personal care, since they are different work at different rates
  • Shifts by date and hours, rather than a monthly figure
  • Respite or overnight cover, which is priced differently from a daytime shift
  • Transport to appointments, with mileage
  • Money spent on the client's behalf, at cost, with receipts referenced

Questions

Why separate companion care from personal care?

Because they are different services with different rates and, in some arrangements, different rules about who may provide them. Companionship, meals and errands are not the same as bathing and transfers, and a family comparing agencies is comparing those two rates separately.

How should money spent for the client be handled?

At cost, on its own line, with receipts kept and referenced. Never inside an hourly rate. This is the line most likely to be examined later by a sibling, an accountant or a court, and the one where being scrupulous costs nothing and being casual costs everything.

Should the invoice describe what was done?

Briefly, yes. The family member paying is usually not the one in the room, and a few plain sentences about how the month went is the only visibility they have. It is also the record that supports a later decision to change the level of care.
