What to put on a environmental consulting invoice

  • The site, and the phase or scope of assessment performed
  • Records review and regulatory database search, which precede any fieldwork
  • Field time by staff level, and mobilisation where the site is remote
  • Laboratory analysis at cost, by the sample and by the analytical method
  • Report preparation and any agency submission
  • Who is entitled to rely on the report, since that is rarely everyone who will read it

Questions

Why does the phase matter on the invoice?

Because the phases answer different questions. A records-and-interviews assessment identifies potential concerns; sampling investigates them. A client who bought the first and believed they bought the second finds out at the worst moment, and the invoice is the clearest place to keep them apart.

Should laboratory costs be marked up?

State whatever you do. Analytical costs are published and clients compare them, and a stated handling percentage on sample management is defensible in a way that a silent markup is not.
