What to put on a coaching invoice

  • Who is being billed — the sponsoring organisation or the individual
  • The engagement period and the number of sessions in it
  • Sessions delivered, counted, without describing their content
  • Assessments or 360 feedback as their own lines, since they carry licence costs
  • Sponsor or stakeholder meetings separately from coaching sessions
  • A line confirming the confidentiality boundary, so nobody expects a progress report

Questions

How much detail can the invoice carry?

Dates and counts, not content. A sponsoring employer is entitled to know that sessions happened and that the engagement is on track; what was discussed is the thing the coaching stops working without. The invoice is where that line gets drawn in practice.

Should stakeholder meetings be billed?

Yes, separately. Three-way meetings with a manager and an HR sponsor are real time and a different activity from coaching, and an engagement that includes several of them costs meaningfully more than one that does not.

Why bill assessments separately?

Because they carry per-use licence costs you are passing on, and because a client may want them and not the coaching, or the reverse. Bundled, the coaching rate looks inflated to anyone comparing it.
