Market Research Invoice Template
Design, fieldwork, incentives, panel costs and analysis. Free PDF, no account.
A research invoice contains one line that is not the agency's income at all: the money paid to respondents. Incentives and panel costs pass straight through, and merging them into a project fee makes the research look several times more expensive than the thinking it bought.

What to put on a market research invoice
- The project name and the methodology — survey, focus group, in-depth interviews
- Design and questionnaire development, which happens before any fieldwork
- Fieldwork by completed interview, with the achieved sample size
- Respondent incentives at cost, since this is the respondents' money not yours
- Panel or recruitment costs, and any screening over-recruitment
- Analysis and reporting, separately from fieldwork
Questions
Why show incentives separately?
Because they are pass-through money going to respondents. On a large sample they can exceed the agency fee, and a client who cannot see the split has no way to judge what the research itself cost.
How should an under-achieved sample be billed?
By what was completed, with the shortfall named. Fieldwork sometimes fails to reach quota on a hard-to-find audience, and an invoice that quietly bills the quoted sample regardless is the one that ends the relationship.
About the free invoice generator
Is this invoice generator really free?
Yes. There is no fee, no trial period and no watermark on the PDF. Nothing on this page requires a credit card.
Do I need to create an account?
No. Fill in the form and download the PDF directly — there is no sign-up and no login for this tool.
What file do I get?
A standard PDF, ready to attach to an email or print.
Can I add my own logo and bank details?
Yes. The seller section accepts a logo image and bank transfer details, which are printed on the invoice so your client knows how to pay you.
Is my data stored anywhere?
Nothing leaves your browser except when you download a PDF or save the invoice to an account. A draft is kept locally in your browser so it's still here if you come back, but there is no account behind this page and nothing is ever sent to our servers until you choose to.
Can I use this for any currency or country?
Yes. Choose any currency and country for either party — the totals and formatting follow your selection.
