Flooring is sold by the square foot and installed against whatever the old floor was hiding. Levelling compound, a soft subfloor, a doorway that has to be undercut — none of that is in the quote, and all of it is in the invoice. Keeping material and preparation on separate lines is what lets a customer see that the price of the floor did not change.

What to put on a flooring invoice

  • The area in square feet, with waste factor stated if you charge for it
  • Material by product name, so it can be matched to what was chosen in the showroom
  • Removal and disposal of the old floor, as its own line
  • Subfloor preparation — levelling, patching, moisture barrier — itemised
  • Underlayment separately from the flooring it sits under
  • Transitions, thresholds and trim, which are always more numerous than expected

Questions

Do I bill for waste?

If you charge for the material ordered rather than the material laid, say so — a line reading 480 sq ft against a 440 sq ft room is a query waiting to happen unless the invoice explains the difference.

How should subfloor levelling appear?

On its own line, with the area treated. It is the most common addition to a flooring job and the least expected by the customer, so it needs to read as work done rather than as the floor having quietly become more expensive.
