What to put on a legal services invoice

  • The matter name and number, exactly as the client's records carry it
  • Time entries with the date, the timekeeper and what was done
  • The rate for each timekeeper, where more than one worked on the matter
  • Disbursements — filing fees, couriers, expert fees — at cost and named
  • Any trust or retainer funds applied, with the balance remaining
  • The billing period, so entries can be matched to the engagement letter

Questions

How specific should time entries be?

Specific enough that the client can tell what they bought. "Review documents, 3.2 hours" invites a query; "Review and annotate defendant's production, batch 4, 3.2 hours" does not, and both take the same time to write.

Should trust account draws appear on the invoice?

Yes, with the remaining balance. In many jurisdictions the client is entitled to that accounting anyway, and volunteering it on every invoice is far less work than assembling it on request.
