What to put on a band invoice

  • The event date, venue and the performance times agreed
  • The number and length of sets, since three forty-minute sets is not one show
  • Load-in, soundcheck and load-out as time on site, whether or not you charge for it
  • PA, lighting or backline hire, where the band supplies it
  • Travel and, for distant shows, accommodation
  • Overtime, with the time it started and who asked for it

Questions

Should load-in be billed?

Bill it or show it at zero, but put it on the document. A band arriving at four for a nine o'clock show has given the venue five hours, and a fee that silently includes them is a fee that looks much larger per hour of music than it is.

Who pays for the PA?

Whoever supplies it should be billing for it. If the band brings the system, that is equipment hire with real depreciation and it belongs on its own line — otherwise the next venue assumes it comes with the booking.
