What to put on a limousine invoice

  • The date, the vehicle class and the passenger or account name
  • The hourly rate and the minimum, since the minimum is what most disputes are about
  • Garage-to-garage time where your rate is structured that way, stated plainly
  • Gratuity, shown as its own line with the percentage rather than folded into the rate
  • Tolls, parking and airport fees at cost
  • Waiting time beyond the free window, with the times it ran

Questions

What is garage-to-garage billing?

Charging from when the vehicle leaves the depot to when it returns, rather than from pickup to drop-off. It is standard in this trade and it is the single most common surprise on a first invoice, so it belongs on the document in words rather than only in the total.

Should gratuity be automatic?

It commonly is on contracted work, and it should always be visible as its own line with the percentage. A gratuity inside the hourly rate is indistinguishable from a higher rate, and the driver's share becomes impossible for the client to verify.

How is airport waiting handled?

With a stated free window after the flight lands and a per-quarter-hour rate after it. Flights are late, and a client who knows the rule accepts the charge; a client who does not assumes the driver was slow.
