What to put on a marketing agency invoice

  • The retainer and what it covers this period
  • Project or campaign work outside the retainer, named
  • Ad spend passed through, per channel, at cost
  • The management fee, with the percentage and the base it applies to
  • Third-party tools or licences billed to the client
  • The reporting period, so results and invoice cover the same weeks

Questions

Should ad spend go through my invoice?

Only if you are paying the platforms. Many agencies prefer the client to hold the ad accounts and pay directly — it removes the largest number on the invoice and with it most of the awkwardness at renewal.

How should the management fee be shown?

As a percentage with its base stated. 'Management fee, 15% of $18,400 media' is a number a client can verify; a flat figure of the same size is one they have to take on trust every month.
