Moving is billed by the hour against an estimate given over the phone, so the invoice almost always differs from what the customer remembers being told. Showing crew size, start and finish times and travel time separately is what makes the difference explicable rather than suspicious.

What to put on a moving company invoice

  • Origin and destination addresses, and the date of the move
  • Crew size and hours, with start and finish times
  • Travel or double-drive time, where your state requires it billed that way
  • Truck or vehicle fee separately from labour
  • Packing materials by item and quantity
  • The valuation coverage chosen, since released value and full value are very different products

Questions

Should travel time be a separate line?

Yes, and several states require it billed separately on intrastate moves. A customer billed nine hours for a seven-hour move will assume an error unless the two hours of travel are named as such.

What should the invoice say about damage coverage?

Which valuation the customer selected and what it pays. Released-value coverage at sixty cents a pound is the federal minimum on an interstate move and is legally adequate and emotionally shocking after a broken television, so the invoice should not be the first place they learn it.
