What to put on a trucking invoice

  • The load or pro number and the bill of lading number
  • Origin and destination, with the dates loaded and delivered
  • Linehaul rate: flat, per mile, or percentage, with the miles shown
  • Fuel surcharge calculated visibly rather than as a lump
  • Accessorials — detention, layover, lumper, TONU — each with its own line
  • Whether signed paperwork is attached, since most brokers will not pay without it

Questions

Why does detention get denied so often?

Because it is claimed without evidence. Detention billed with in and out times that match the signed BOL is paid; the same amount on a line reading 'detention' is the one that gets removed in review.

Should the fuel surcharge be shown separately?

Always. It is calculated from a published index against loaded miles, and a broker's system reconciles it as its own figure — folded into linehaul it fails the match and the whole invoice sits in a queue.
