It is read against an estimate someone else wrote, and it is paid or held up on whether the claim number, the parts type and the labour categories line up with that estimate — which is why the document has to carry all three before it carries a total.

What to put on a auto body invoice

  • The claim number, the adjuster and the insurer, alongside the vehicle and VIN
  • Parts by type — OEM, aftermarket, remanufactured or recycled — since that is what an insurer approves separately
  • Labour split by category: body, refinish, frame, mechanical, each at its own rate
  • Paint and materials, usually as a per-refinish-hour figure rather than a lump
  • Supplements as their own lines, naming what was found after teardown and when it was approved
  • Betterment or the customer's deductible, so the split between insurer and owner is unambiguous

Questions

Why does the parts type have to be on the invoice?

Because the insurer approved a specific type and the policy may only cover that one. An invoice reading "quarter panel" without saying OEM or aftermarket is the single most common reason a collision bill goes back for clarification.

How should supplements appear?

As distinct lines, with what teardown revealed and the date the adjuster approved it. A supplement folded into the original repair line looks like the estimate was simply exceeded, which is the version that does not get paid.

What is betterment?

The share the owner pays when a repair leaves the car better than it was — new tyres replacing worn ones, for instance. It belongs on the invoice as its own line, because it is the part the insurer will not cover and the owner has to be told about before they collect the car.
