Security is billed by the guard hour against a schedule the client set, and the client checks it against their own sign-in sheets. Post, shift and hours have to reconcile exactly — and the premium rates, for holidays and for short-notice cover, have to be visible, because they are what makes one month cost more than the last for reasons that had nothing to do with the rate.

What to put on a security guard invoice

  • Each post by location and shift, with the hours covered
  • Regular hours separate from overtime and from holiday hours, at their own bill rates
  • Short-notice or emergency cover as its own line
  • Supervision or patrol visits, where they are billed apart from the static post
  • Equipment supplied — vehicle, radios, uniforms — where the contract charges for it
  • Your agency licence number and confirmation that officers are licensed as the state requires

Questions

Why show overtime separately?

Because the client's schedule is what created it. A shift extended because the relief officer was late is a different conversation from a shift the client asked to extend, and neither can be had if the invoice shows only total hours.

Should holiday rates be flagged?

Always, with the date. A client budgeting a flat monthly figure will query a month containing two holidays, and the answer is much easier when the invoice already gives it.

Does licensing belong on an invoice?

The agency licence, yes — most states license security agencies and many require the number on client documents. It also answers, without being asked, the question a client's own insurer will eventually put to them.
