Machine
Troy-Bilt walk-behind, model TB230, serial 1K291B40012. Fuel left in over winter had gummed the carburettor; the bowl and jets were varnished. Rebuilt rather than replaced, which was the cheaper of the two. The deck and engine are otherwise sound and worth keeping. Drain or stabilise the fuel before storage this autumn and this will not recur.

What to put on a small engine repair invoice

  • The machine by make, model and serial, since parts are ordered off it
  • The fault found, in a sentence the customer can repeat
  • Diagnostic or bench fee, and whether it is credited against the repair
  • Parts by number, with whether they are OEM or aftermarket
  • Labour separately, at your shop rate
  • Pickup and delivery, where the machine could not be carried in

Questions

Should I say when a repair is not worth it?

On the invoice, in writing, if that is your view. A customer who spends two hundred dollars on a mower worth three hundred and is not told is a customer you lose; one who is told and chooses the repair anyway is a customer for years.

Why record the serial number?

Because parts for small engines vary by serial range within the same model, and because a warranty claim needs it. It also lets you answer next season's phone call about which carburettor kit this machine takes.
