What to put on a septic service invoice

  • Tank size and the gallons actually pumped
  • Disposal or dump fees, which are charged by the treatment facility and vary by county
  • The condition found: baffles, filter, sludge depth, any evidence of failure
  • Inspection separately from pumping, since a real-estate inspection is a different product
  • Parts — effluent filter, riser, lid, pump — itemised
  • Any permit or county filing required for a repair or replacement

Questions

Should disposal fees be a separate line?

Yes. They are set by whichever treatment facility takes the load and vary widely between counties, so a homeowner comparing your price to a neighbour's in the next county is comparing two different disposal costs unless the invoice separates them.

Why record the condition found?

Because the invoice becomes the maintenance history. A sludge depth or a failed baffle noted this year is what justifies the recommendation next year, and it is what a buyer's inspector or a county health department asks for when the property changes hands.

Is an inspection the same as a pump-out?

No, and they should never share a line. A real estate transfer inspection is a documented assessment with its own report and often a county form; pumping is a service. Bundling them makes the inspection look free and the pump-out look expensive.
