A DJ sells one Saturday at a time. Everything about the job is known when the quote is written — the hours of music, the kit that goes in the van, the ceremony PA, how many uplighters — so the price binds easily. What has to be written down is the time nobody counts: set-up before doors and pack-down after the last song, which is two or three unpaid hours on every quote that only mentions playing time.

What this quote commits you to

How long it stands
14 days, or until the date goes — season Saturdays are booked well ahead and are held only against a deposit.

Additional sound zones beyond those listed, dance floor lighting hire, generator or venue power drops, and photo booth services.
What would change the price
Playing time extended on the night at the overtime rate, and a second set-up at a different address on the same day.

What to put on a DJ services quote

  • Playing hours, stated separately from set-up and pack-down time
  • The equipment supplied: speakers, subs, mixer, microphones, backup gear
  • Ceremony or speech sound as its own zone, if the venue needs one
  • Lighting: dance floor lighting and uplighting, counted by fixture
  • The music planning meeting, and when the final playlist is due
  • Power the venue must provide, and where the DJ table will stand
  • Overtime rate per additional hour, agreed before the night rather than during it

Questions

Should set-up time be on the quote?

Yes, as its own line even when it is not charged. A DJ arriving at three for a seven o'clock start has given the client four hours; showing it is what stops the fee looking like a per-hour rate for playing records.

How is overtime handled on the night?

By a rate on the quote and a named person who can authorise it. At midnight, with a full dance floor, nobody wants to negotiate — and the couple's parents should not be agreeing to a price nobody wrote down.

What does a second sound zone add?

A separate small PA, a second set-up and often a second microphone check in another room. It is a real cost and a real amount of time, so a ceremony outdoors and a reception inside is two systems rather than one moved at speed.

Does this work for a band or a live performance?

It does, with two substitutions and one addition. Playing hours become sets and breaks — three forty-five minute sets across a four-hour window is a different promise from four hours of continuous music, and the quote should say which, because it decides whether a DJ or a playlist covers the gaps. The equipment line becomes backline and who supplies the PA and the engineer, since a band that arrives expecting a house system and finds none does not play. The addition has no DJ equivalent and belongs on the quote rather than in a later email: the rider — power at the stage, parking for the van, load-in time and access, meals, and somewhere to change.
