A formal quote is the only kind that answers a document it did not write. Somebody has issued an RFQ or an invitation to tender with a specification, a submission deadline, a required validity period and a scoring method, and your quote is judged against those rather than read as a sales letter. So it carries their reference number, follows their structure, and states compliance clause by clause — because an evaluator with twelve submissions is looking for reasons to score, not prose to enjoy.

- The 90-day validity your instructions to bidders require, counted from the closing date rather than from the day we issued this response.

What to put on a formal quote
- The buyer's RFQ or tender reference and its issue date, on the first page
- A compliance statement against each clause of the specification
- Exceptions and deviations listed in one place rather than scattered through the response
- Alternates offered separately, clearly marked as alternates rather than as the bid
- The validity period the buyer's instructions required, not the one you would prefer
- Bonds, insurance limits and certifications the instructions demand, evidenced
- The authorised signatory, and the submission format and deadline being met
Questions
Whose validity period governs a formal quote?
The buyer's. Tender instructions routinely require ninety or a hundred and twenty days so that an evaluation and an award committee can run their course, and a response offering thirty is non-compliant before anyone reads the price.
What is a compliance statement for?
Scoring. Evaluators mark against clauses, so a response that answers them in order can be scored quickly and completely — one that reorganises the specification into its own narrative loses points nobody will explain to you afterwards.
Can a formal quote be negotiated?
Only through the buyer's own process. A public or corporate procurement runs on clarifications and post-tender negotiation stages, and a bidder who tries to negotiate outside them is frequently disqualified for it.
Is this what a company quote on letterhead means?
Yes — letterhead with the terms attached is this document, and the letterhead is the least of it. What makes a quote formal is that the number binds for a stated period, that the terms travel with it rather than being referred to, and that the way to accept it is written down. If there is no RFQ behind yours, drop the compliance matrix and the alternates schedule, which only exist to answer somebody else's instructions, and keep the rest: your own reference number, the validity period, the exceptions stated in one place, and the signatory authorised to commit the company.

What is the difference between a quote and an estimate?
A quote is a fixed price you are offering to hold, and it is binding on you once the client accepts it. An estimate is your best projection of the cost and can move if the job does. If the scope is not settled yet, send an estimate instead.
Is a quote legally binding?
Once a client accepts it within the period it stands, a quote generally forms a contract at that price — the details depend on your jurisdiction and on what the document itself says. That is why the price, the scope and the exclusions all belong in writing, and why the document prints the date the offer expires.
How long should a quote be valid until?
Thirty days is the common default, and two weeks is sensible when materials prices are moving. Whatever you choose, state it on the quote: an offer with no expiry is an offer you have made for ever.
Can I raise the price after the client accepts?
Not unilaterally, which is the point of quoting rather than estimating. What you can do is price the variations the client asks for afterwards, provided the quote said what was and was not included.
Do I need to create an account?
