Service Quote Template
A price fixed to a written scope, with a change-order clause behind it. Free PDF, no sign-up.
A service quote fixes a price to a scope of work — not to a number of hours, and not to a description of a trade. That distinction is the whole document: the hours are how you built the number, and the scope is what you are bound to. Everything else on the page exists to protect the boundary, which is why the most valuable paragraph in a service quote is the one describing how a change order works.

What this quote commits you to
- How long it stands
- 30 days from issue against the attached scope of work — the scope, rather than the hours, is what this price is fixed to.
- What it does not cover
- Anything the scope of work does not list, materials beyond the stated allowance, and work outside the shift hours named in it.
- What would change the price
- A written change order signed before the work in it begins; nothing outside the scope is carried out on a verbal instruction.
- How the client accepts it
- Sign the quote and pay the mobilisation deposit; nobody is scheduled to site until both have arrived.

What to put on a service quote
- The scope of work attached and referenced by its own version or date
- Labour by role with the hours behind the fixed price, shown for transparency
- Materials included, or an allowance with the reconciliation rule stated
- Site conditions the price assumes: access, power, storage, working hours
- The change-order procedure — written, priced and signed before work starts
- Mobilisation deposit and what it releases
- Completion criteria: what has to be true for the work to be finished
Questions
How is a service quote different from an estimate?
The scope. An estimate prices work nobody has been able to inspect and expects to move; a service quote prices a scope that is written down, and moves only when that written scope is changed by agreement. Same trade, different promise.
Should the hourly rate appear on a fixed-price quote?
It helps more than it hurts. Showing the roles and hours makes the number legible, and it gives the change-order clause a rate to work from — otherwise every variation is a fresh negotiation with no reference point.
What belongs in the change-order clause?
That no work outside the scope is performed on a verbal instruction, that any change is priced in writing first, and who on the client's side may authorise one. Without that last part, the clause fails on site at the moment it is needed.
About the free quote generator
Is this quote generator really free?
Yes. There is no fee, no trial period and no watermark on the PDF. Nothing on this page requires a credit card.
What is the difference between a quote and an estimate?
A quote is a fixed price you are offering to hold, and it is binding on you once the client accepts it. An estimate is your best projection of the cost and can move if the job does. If the scope is not settled yet, send an estimate instead.
Is a quote legally binding?
Once a client accepts it within the period it stands, a quote generally forms a contract at that price — the details depend on your jurisdiction and on what the document itself says. That is why the price, the scope and the exclusions all belong in writing, and why the document prints the date the offer expires.
How long should a quote be valid until?
Thirty days is the common default, and two weeks is sensible when materials prices are moving. Whatever you choose, state it on the quote: an offer with no expiry is an offer you have made for ever.
Can I raise the price after the client accepts?
Not unilaterally, which is the point of quoting rather than estimating. What you can do is price the variations the client asks for afterwards, provided the quote said what was and was not included.
Do I need to create an account?
No. Fill in the form and download the PDF directly — there is no sign-up and no login for this tool.
Can the client accept the quote online?
Not from a downloaded PDF. Saving the quote to an account gives it a link the client opens and answers on, and the acceptance is recorded against the document rather than living in an email thread.
Can I use this for any currency or country?
Yes. Choose any currency and country for either party — the totals and formatting follow your selection.
