SaaS Quote Template
Seats, term, ramp, usage limits and the renewal uplift, on an order form. Free PDF, no sign-up.
A SaaS quote is the only shape here whose price is per period rather than per job. Nothing is delivered and finished; a subscription starts, runs for a term and renews, so the document has to price time as well as scope. Seats, term, ramp and the renewal uplift are the whole negotiation, and the piece buyers most often discover too late is the uplift — which is why a quote worth signing states it as a number rather than as 'then-current list'.

What this quote commits you to
- How long it stands
- 30 days, for a subscription starting within 90 days of signature; a later start date is quoted again at the list price in force then.
- What it does not cover
- Implementation beyond the one-off line above, premium support tiers, additional sandbox tenants, and usage above the plan's included limits.
- What would change the price
- Seats added mid-term, billed pro rata at this same per-seat rate, and the capped renewal uplift stated on the order form.
- How the client accepts it
- Sign the order form under our master subscription agreement; provisioning happens on the start date named there.

What to put on a SaaS quote
- Seat count and the per-seat price, with the tier the count sits in
- The term, its start date, and the billing frequency inside it
- Any ramp: how seats and price step up across the term's years
- Usage limits included, and the overage rate above them
- The renewal uplift as a capped percentage, not as 'then-current list price'
- Implementation, migration and training as one-off lines outside the subscription
- The master agreement this order form sits under, named and dated
Questions
Why cap the renewal uplift on the quote?
Because it is the term buyers are judged on internally. An uncapped renewal is a blank cheque in year two, and procurement teams increasingly refuse to sign without a cap — offering one unprompted removes the longest conversation in the deal.
How should seats added mid-term be priced?
Pro rata at the same per-seat rate, co-terminating with the existing term. Repricing mid-term adds punishes the customer for growing on your platform, which is exactly the behaviour the subscription is supposed to reward.
Is a SaaS quote the same as an order form?
Nearly, and the difference matters. The quote proposes; the order form is signed and incorporates the master subscription agreement by reference. Keeping the commercial terms identical between the two is what stops legal review reopening price.
About the free quote generator
Is this quote generator really free?
Yes. There is no fee, no trial period and no watermark on the PDF. Nothing on this page requires a credit card.
What is the difference between a quote and an estimate?
A quote is a fixed price you are offering to hold, and it is binding on you once the client accepts it. An estimate is your best projection of the cost and can move if the job does. If the scope is not settled yet, send an estimate instead.
Is a quote legally binding?
Once a client accepts it within the period it stands, a quote generally forms a contract at that price — the details depend on your jurisdiction and on what the document itself says. That is why the price, the scope and the exclusions all belong in writing, and why the document prints the date the offer expires.
How long should a quote be valid until?
Thirty days is the common default, and two weeks is sensible when materials prices are moving. Whatever you choose, state it on the quote: an offer with no expiry is an offer you have made for ever.
Can I raise the price after the client accepts?
Not unilaterally, which is the point of quoting rather than estimating. What you can do is price the variations the client asks for afterwards, provided the quote said what was and was not included.
Do I need to create an account?
No. Fill in the form and download the PDF directly — there is no sign-up and no login for this tool.
Can the client accept the quote online?
Not from a downloaded PDF. Saving the quote to an account gives it a link the client opens and answers on, and the acceptance is recorded against the document rather than living in an email thread.
Can I use this for any currency or country?
Yes. Choose any currency and country for either party — the totals and formatting follow your selection.
