Marketing Agency Quote Template

Management fee apart from ad spend, channels named, deliverables counted. Free PDF, no sign-up.

The one thing a marketing quote must never do is blend the fee with the media. A client who cannot see how much of a monthly number reaches the platforms cannot judge either figure, and an agency that hides the split spends every renewal defending it. Fix the fee against a named channel list and a countable set of deliverables; let the spend be the client's money passing through, billed at what the platform billed.

What this quote commits you to

How long it stands
30 days, and the media rates behind any forecast are the platforms' own — they are passed through as billed rather than held by us.
What it does not cover
Ad spend, which you pay the platforms directly, plus influencer fees, original photo and video shoots, and any tool or analytics subscription.
What would change the price
A channel added to the plan, or a monthly spend that moves outside the tier the management fee was priced against.
How the client accepts it
Accept by signing the plan; the first month runs from the date platform access is granted to our agency accounts.

What to put on a marketing agency quote

  • The management fee stated separately from ad spend, in words as well as numbers
  • Channels covered by name, and which are explicitly not covered
  • Deliverables counted per month: ads built, posts, landing pages, emails
  • Who holds the ad accounts — the client's own accounts, or yours
  • Reporting: what report, on what day, and whether a call is included
  • The spend tier the management fee was priced against
  • Creative production, and whether it is inside the fee or quoted per asset

Questions

Should the agency fee be a percentage of ad spend?

It can be, but write the percentage and the tier boundaries on the quote. A percentage with no floor punishes the agency on a small account, and one with no visible tiers means the client discovers the fee moved when the invoice arrives.

Who should own the ad accounts?

The client, with the agency granted access. It costs nothing to agree at quoting time and is unwinnable to argue about at the end of a relationship — and a quote that says it plainly is the reason a prospect trusts the rest of the document.

What does the fixed fee actually promise?

Work, not outcomes. Count the deliverables and name the cadence; promising a cost per acquisition on a channel you have not run for this client is not a quote, it is a bet made with somebody else's budget.

Does this work for a PR or SEO retainer?

Yes, and one line disappears, which changes the shape of the rest. There is no media to separate from the fee, so the deliverable count carries the whole document: pitches sent and stories placed for PR, or the technical audit, the briefs and the pages published for SEO. That makes the refusal above matter more rather than less — a PR retainer promises pitches, not coverage, and an SEO retainer promises the work, not a ranking, because neither the editor nor the search engine is a party to your quote. Name the reporting cadence and the term the same way, and put the ownership question where the ad-account question sits here: the client keeps the domain, the analytics property and anything published on it.
