A floor is priced off a measurement and installed onto whatever is under the old covering. Until the carpet is lifted or the vinyl is scraped, nobody knows whether the subfloor is flat, dry or sound — and all three decide how much work goes in before a single plank is laid. A flooring estimate that names its waste factor, its assumed subfloor condition and its moisture limit is one you can hold to; one that quotes only a price per square foot is a bid you will end up renegotiating on your knees.

What this estimate commits you to

How long it stands
Thirty days. A dye lot is held for about that long, and material re-ordered later arrives from another run with a shade difference you can see across a room.
What it does not cover
Furniture moving, appliance disconnection and reconnection, removal of old adhesive or asbestos-backed sheet vinyl, baseboard replacement, and any painting where the new floor height changes the reveal.
What would change the price
The subfloor once it is exposed: high spots that need grinding, hollows that need levelling compound past the allowance, squeaks that need screwing off, and any moisture reading above the manufacturer's limit, which pauses the job rather than costing an hour.
How the client accepts it
Sign, confirm the lot and pay for the material up front; installation is scheduled once the boxes have acclimatised in the room for 72 hours, and the lot cannot be changed after it is cut.

What to put on a flooring estimate

  • Square footage by room, and the waste factor added on top — 10 per cent plank, more on a diagonal or herringbone lay
  • The exact product: species, wear layer, plank width and the lot the price was taken from
  • Removal and disposal of the existing covering, priced by what it is — carpet lifts, glued vinyl does not
  • Subfloor preparation as an allowance, with the rate per bag of levelling compound and per hour of grinding
  • Transitions, thresholds, stair nosing and trim, each of which is priced per piece rather than per square foot
  • The moisture reading the manufacturer requires, and that installation stops until the slab meets it

Questions

What waste factor should a flooring estimate show?

Show it as a number rather than burying it. Ten per cent covers a straightforward rectangular room; a diagonal, a herringbone or a floor broken up by angles runs to fifteen or twenty, and a customer comparing two bids deserves to see which one bought enough material to finish.

How do I estimate subfloor repair before the old floor is up?

As an allowance with a unit rate attached — so many bags of levelling compound, so many hours of grinding, at a stated price each. Then measure the subfloor once it is exposed and bill what was used. The alternative is a padded price that loses you the job.

Why does the estimate mention a moisture reading?

Because it is the one condition that can stop the job on the morning it starts. Every manufacturer sets a limit for the slab or the subfloor, installing over a wet one voids the warranty, and drying a slab takes days that belong to nobody's schedule until the estimate says whose they are.
