The invoice has to say which phase, what percentage of it is complete, and what the fee is being calculated against — otherwise the client is checking arithmetic they cannot see.

What to put on a architecture invoice

  • The project name and number, and the phase being billed
  • The fee basis: percentage of construction cost, fixed fee, or hourly
  • Percentage of the phase complete, and what was invoiced previously
  • Consultant fees — structural, MEP, civil — passed through and named
  • Reimbursables such as printing, permits and travel, at cost
  • Additional services outside the agreement, each with its authorisation

Questions

How do I show percentage-of-phase billing?

State the phase fee, the percentage complete now, the percentage previously invoiced, and the difference. Four numbers turn an unverifiable figure into arithmetic the client can follow.

Should consultants be billed through me?

Only if you hold their contracts. If you do, list them individually at cost or with a stated coordination fee — a lump 'consultants' line is the one that stalls in review.
