What to put on a CPA invoice

  • The engagement letter this work falls under, by date or reference
  • Each service line separately: compilation, review, tax, advisory, payroll
  • Staff level and rate where you bill hourly, since a partner hour and a staff hour are not the same product
  • Work outside the engagement, named, with who authorised it
  • The period covered, which for tax work is not the period the invoice arrives in
  • Software or filing fees passed through, where the client bears them

Questions

Why reference the engagement letter?

Because it defines what the fee bought. Almost every fee dispute in this profession is a scope dispute, and an invoice that names the engagement makes the answer a matter of reading rather than remembering.

Should staff levels be shown?

On hourly work, yes. A client who sees forty hours and one blended rate assumes partners did all of it; the same forty hours split between partner, senior and staff reads as a firm managing their cost rather than inflating it.

How should out-of-scope work appear?

As its own line naming the request and who made it. Additional work absorbed silently becomes the baseline expectation; the same work billed and explained is a service the client remembers asking for.
