A court reporting invoice is read by a law firm's accounts department against a matter number, and almost all of it is per-page arithmetic they will redo. Appearance, transcript, rough draft, expedite and exhibits are five different charges that behave differently, and any of them buried inside another is the one that gets queried.

What to put on a court reporter invoice
- The case caption, matter number and the deponent, since firms file by matter
- The appearance fee, by half day or full day, separate from the transcript
- Transcript pages at the per-page rate — the largest line and the one that is checked
- Rough draft, if supplied, at its own reduced per-page rate
- Any expedite surcharge, stated as a percentage of the base rate with the turnaround
- Exhibits, counted by page, and realtime if it was provided
Questions
Why is the appearance fee separate from the transcript?
Because they pay for different things: the appearance covers the reporter being in the room whether or not anyone orders a transcript, and the per-page covers producing it. A deposition that settles before anyone orders pages still owes the appearance.
How should an expedite be shown?
As a percentage of the base per-page rate with the turnaround named — same-day and next-day commonly carry the steepest surcharge, tapering as the days allowed increase. A flat "expedite fee" with no basis is the line most often knocked off in review.
Is a rough draft billed on top of the final transcript?
Usually yes, at a reduced per-page rate, and it normally requires the final transcript to be purchased as well. Saying so on the invoice avoids the argument that the firm paid twice for the same pages.
