What to put on a document shredding invoice

  • The service address, since many clients have several
  • Scheduled service by bin or console, counted, with the size of each
  • One-off purges by weight or by box, which is priced differently from scheduled service
  • Whether destruction was on site or off site, which some client policies dictate
  • The certificate of destruction reference and its date
  • Media destruction — hard drives, tapes — separately, since it is a different process

Questions

Why does the certificate of destruction matter?

Because it is the evidence, and the invoice is not. A business shredding to meet a legal or contractual obligation has to show that material was destroyed, when, and by whom — so the invoice should name the certificate rather than replace it.

On-site or off-site — does it change the price?

Usually yes, and it changes what some clients can accept. Off-site destruction means the material travels in a secure vehicle and is destroyed at a plant; on-site means it is destroyed in the truck at the kerb. Some client policies and some contracts require the second, so the invoice should say which was done.

Should hard drives be on the same invoice?

On the same invoice, on their own line. Physical media destruction is a separate process with its own certificate, and clients frequently need to evidence it separately from paper.
