A dance studio bills a parent for a term and then, twice a year, for the things that are not tuition: costumes, recital fees, competition entries. Those are the charges families are least prepared for, so keeping them visibly separate from tuition is what makes the bigger months explicable.

What to put on a dance studio invoice

  • The dancer's name and the classes enrolled in, by level and day
  • Term tuition, with the number of weeks it covers
  • Costume fees per class, since a dancer in three classes needs three costumes
  • Recital, competition or festival fees, each named
  • Private lessons separately from group classes
  • Any sibling or multi-class discount applied, shown rather than baked in

Questions

Should costume fees go on the tuition invoice?

On the same invoice, on their own lines, one per class. Costumes are the charge families most often say they were not told about, and a line naming the class it belongs to answers the question before it is asked.

How should discounts be shown?

As a visible reduction rather than a quietly lower tuition figure. A family that cannot see the sibling discount does not know they are getting one, and it is worth more to the studio when they do.
