What to put on a excavation invoice

  • Each machine by type and size, with hours, since an excavator hour is not a skid steer hour
  • Operator time where it is billed apart from the machine
  • Mobilisation, which is a real cost on a small job and disappears on a large one
  • Haul-off counted by the load, with what was hauled and where it went
  • Imported material — gravel, fill, topsoil — by the yard or ton
  • Utility locates, and any hand digging required near a marked line

Questions

Why does mobilisation get its own line?

Because moving a machine to site costs the same whether the job takes two hours or two days, and a half-day job that absorbs it into the hourly rate looks like an extraordinary rate. Named, it is a cost every customer understands.

How should rock be billed?

By the hour it actually cost, on its own line. Rock is the classic excavation surprise, and the difference between a quoted dig and a rock dig is large enough that it has to be visible rather than absorbed.

Should locates appear if they were free?

Yes, at zero if that is the case. The public locate service costs nothing to call and it is the thing that keeps a customer's utilities intact — recording that it was done is worth having if a line is ever struck later.
