What to put on a event photography invoice

  • The event date, venue and the coverage window booked
  • Overtime beyond the booked hours, with the time it started
  • Second shooter or assistant, by hours
  • Editing and the number of delivered images
  • Delivery method and how long the gallery stays available
  • The usage licence: personal use, commercial use, and whether the venue or vendors may use the images

Questions

How do I bill overtime agreed on the night?

As its own line with the start time and rate. It is agreed in a loud room by people who are celebrating, and the invoice is the only version of that conversation that is written down.

Can the venue use my photographs?

Only if the licence says so. Venues and florists routinely ask afterwards, and it is a licence you can grant, decline or charge for — but not retroactively, unless the invoice made the position clear.

How long should the gallery stay up?

State a period and hold to it. Indefinite hosting is a cost that compounds silently across every event you have ever shot, and clients who are told the window download promptly.
