What to put on an interior design invoice

  • The project and phase, since these run for months
  • The design fee and its basis: flat, hourly, or a percentage of spend
  • Site visits and meetings, counted
  • Furniture and furnishings purchased for the client, at cost, listed
  • Your procurement fee or markup, stated rather than buried in the goods
  • Delivery, storage and white-glove installation, which are real and separate costs

Questions

Should I show what I paid for furniture?

If you charge a procurement fee, yes — showing cost and fee separately is the arrangement clients trust. If you work on a resale margin instead, then the invoice shows your price, and the contract should have said which model applies.

How do I bill site visits?

Counted, at an hourly or per-visit rate, unless your flat fee includes a stated number. Site visits expand quietly during installation, and a flat fee with no limit is the one that ends up unprofitable.
