Most of what a photographer sells is not the day of shooting: it is the edit, and the licence to use the results. An invoice that says only "photography services" leaves both invisible, which is how a client comes to believe the images were bought outright. This template names the shoot, the edit and the licence separately, with the licence term written where the client will read it.

How to invoice as a photography →
What to put on a photography invoice
- The shoot fee, with the date and hours it covers
- Editing as its own line, with the number of delivered images
- The usage licence — where the images may appear, for how long, and in what territory
- Travel and any location or permit fee, at cost
- Whether raw files are included (they usually are not — say so here rather than in an email)
- The deposit already paid, so the balance due is the figure the client acts on
Questions
Should the usage licence be on the invoice?
Yes. The invoice is the document that survives in the client's accounting system long after the contract is filed away, so it is the place the licence terms are most likely to be found when someone asks two years later whether an image can be reused in a new campaign.
How do I invoice a deposit already taken?
Bill the full value of the work, then record the deposit as paid so the invoice shows a balance rather than a total. An invoice for the remainder only leaves no record of what the whole engagement was worth, which makes the year-end reconciliation harder than it needs to be.
Do I charge for travel separately?
If it is material, yes — mileage or fares at cost, on their own line. Absorbing travel into a day rate works until a client compares two quotes where one shoot is local and the other is not, and asks why your rate moved.
