How to invoice for landscaping

What to put on a landscaping invoice

  • The property address, where it differs from the billing address
  • Maintenance visits with their dates, rather than a single monthly line
  • Plants and materials by quantity, since these are what a customer prices against a garden centre
  • Machine or skip hire passed through at cost
  • Disposal of green waste, which is a real cost and an invisible one until it is itemised
  • Whether the work is covered by a maintenance agreement or billed on top of it

Questions

Should each maintenance visit be its own line?

Yes, with dates. One line reading 'monthly maintenance' invites the question of how many visits it covered, and answering it from memory two months later is how a customer comes to believe they were billed for a visit that did not happen.

How do I bill plants a customer chose themselves?

At the price you paid plus your margin, listed by variety and quantity. Customers who choose their own planting will price it, so an invoice that hides the breakdown is one that gets a phone call.
