What to put on a plumbing invoice
- Your licence number, if your state requires it on customer paperwork
- The call-out or trip fee as its own line, not folded into labour
- Labour hours and the hourly rate, split by weekday and after-hours where they differ
- Parts listed individually, so a customer can price them
- Sales tax on parts where your state taxes goods but not services
- Payment terms, and what happens once they lapse
Questions
Should a plumbing invoice show labour and parts separately?
Yes, and in most states it matters for tax as well as for clarity: parts are often taxable goods while labour is an untaxed service, and one combined line cannot be taxed correctly either way. Separate lines also make a disputed invoice far quicker to settle, because the customer can point at the line they are asking about.
How do I bill an after-hours call-out?
As two lines: the call-out fee, and the labour at your after-hours rate. Folding the premium into the hourly rate makes the invoice look like your standard rate went up, which is the version customers query.
Do I need my licence number on the invoice?
Several states require a licensed trade to show its licence number on customer-facing paperwork, and it costs nothing to include where it is not required. Put it in the terms line at the foot of the invoice rather than in the line items.
