A photographer sells a date and a deliverable, and both can be described exactly before the shutter moves — which is why photography quotes rather than estimates. The date is the scarce part: it can only be sold once, so the quote is really a document about when it stops being available. Say how many hours, how many edited images, how long the edit takes, and what the client may do with the files.

What this quote commits you to

How long it stands
21 days, or until the date is booked by somebody else — a shoot date is held only by a retainer, never by a quote.
What it does not cover
Prints and albums, drone coverage, travel beyond fifty miles, raw unedited files, and any licence for advertising use.
What would change the price
Coverage running past the booked hours, and any additional location added on the day itself.
How the client accepts it
A signed booking form and a non-refundable retainer hold the date; the gallery timeline runs from the shoot, not from the booking.

What to put on a photography quote

  • Coverage hours, and whether travel and set-up count inside them
  • The number of edited images delivered, and the standard of editing applied
  • Delivery timeline for previews and for the full gallery
  • Second shooter or assistant, included or excluded by name
  • Licence: personal use, commercial use, or an exclusive assignment
  • Where the images may appear — social, print, advertising — and for how long
  • The retainer that holds the date, and what happens if the client reschedules

Questions

What holds a photography date?

A signed booking and a retainer, not a friendly email. The date is inventory that can only be sold once, and every photographer who has held one on a verbal promise has learned it from the wrong side.

How specific should the deliverable be?

A number of edited images and a delivery window. 'A gallery of your favourites' means one thing to a photographer with six hundred frames and another to a client expecting all of them, and the gap surfaces after the money has been spent.

Does the licence belong on the quote?

Yes. Usage is what separates a portrait sitting from a commercial shoot at four times the price, and a client who reads the licence at quoting time is not the one who puts the images on a billboard nine months later.

What changes when the event is a corporate one rather than a wedding?

The structure holds and one line on this quote inverts. Coverage is bought against a programme rather than a day's flow — the keynote, the breakouts, the dinner, a headshot station running for two hours in a side room — so it is quoted per session and per shooter instead of as one block. Delivery moves from six weeks to the next morning, because a communications team is publishing while the event is still on, and a same-day selection of twenty edited frames is often worth more than the full gallery. And the exclusion above is the thing to reverse: a wedding client needs no advertising licence and a corporate client needs exactly that, so usage across their marketing, their website and their next year's event page is priced into the fee rather than excluded from it. Add a line about attendee consent, since the people in the frames are not the client.

Does this work for a real estate photography quote?

Yes, with all three values changed and the structure intact. The unit is the property and its square footage rather than a block of hours, so the price steps by size band and by what is added to the shoot — twilight exteriors, aerials, a floor plan, a walkthrough video. The delivery window is the next morning rather than six weeks, and it is worth stating as a time rather than a day, because the listing goes live against it. And the licence runs to the listing brokerage for the duration of the listing: that is the clause that decides what happens when the agent moves firm or the home sells and the new owner wants the photographs.
