What to put on a web development invoice

  • The milestone or sprint the invoice covers, matched to the statement of work
  • Hourly work with the hours shown, where the engagement is time and materials
  • Third-party costs — licences, APIs, hosting — passed through at cost and named
  • Who owns the code and when ownership transfers, usually on payment
  • Any support or warranty period included after handover
  • Access and credentials handed over, so the client knows what they now hold

Questions

Should hosting and licences be on the same invoice as development?

They can be, but never on the same line. A finance team approves capital work and recurring costs through different routes, and one merged line tends to stall in whichever queue is slower.

When does the client own the code?

Whenever your contract says — commonly on payment in full. Saying so on the invoice is worth the sentence it costs, because it is the document both sides can find a year later.
