What to put on a pool service invoice

  • The visits in the period, counted, with dates
  • Chemicals separately from service, since usage swings with weather and use
  • Readings taken — chlorine, pH, alkalinity, stabiliser — at least in summary
  • Filter cleans and backwashes, which are periodic rather than weekly
  • Equipment repairs and parts as their own lines
  • Opening or closing, which are seasonal jobs and priced apart from the route

Questions

Why bill chemicals separately from the visit?

Because they are the part that varies. A heatwave, a pool party or a rain event changes consumption sharply, and a flat all-in price either overcharges quiet months or loses money in busy ones. Split, the customer can see which happened.

Should test readings be on the invoice?

A summary is worth the line. It is the only evidence the customer has that the pool is being tested rather than skimmed, and it explains a chemical line that jumped.

How should equipment repairs appear?

As their own lines with the part named. Pumps, heaters and salt cells are the expensive failures in this trade, and a customer who finds one folded into a monthly service figure will assume the monthly figure has changed permanently.
